User interface overview

When you're hired as a front desk employee, it's essential for you to learn how to use a specific tool, which is our software. Since our software offers numerous functionalities, the interface may appear somewhat different from other Point of Sale (POS) systems. Let's go over this and help you become acquainted with our interface.

A brief introduction in the BMI POS interface

Guests and their profiles 

Working in a Family entertainment center brings you in contact with many wonderful people. these guests can create their profile the first time they visit the venue and we keep track of their visits and specifics. In order to do so we need you to help us. You are the person between the guest and our system and we rely on you to make the guest’s experience the best as possible. Don’t worry, we tried to make it as easy as possible for you. 

The following article will teach you some basic actions you will need to interact with your guests. 

 

Products

Now that we are familiar with guests and the concept of their profiles we can start selling them items.

In this chapter we will cover all basic interactions you will need to master in order to work with products. 

Sell a regular item 

Whether you sell a hat, cap, or can of coke there is only 1 way to do it.

6 STEPS

1. As you can see in this set up the food menu exist out of different pages.
Select the page you want to see the associated products.

2. You can select most articles by simply selecting the associated button.

3. If there are multiple option or setups, a pop up page will open and allow you to select.

4. Like this! Chicken tenders can be ordered in portions of 4, 6 or 8. Select the portion size you need to continue.

5. Additionally, flavor or modifiers will pop up whenever required or available.

6. That's it. You're done.

An easy way to sell a lot at once

It might happen that you need to sell a lot of the same item, for example 13 cokes, 21 candies, or even 233 paintball balls. If this is the case you can easily do it in our system. 

6 STEPS

1. If you need big amount of a certain item you can use the keypad to fill in the amount rather than having to click the product multiple times.

2. To start this, click the keypad icon.

3. This will open the keypad input field. Select the amount of the item you need.

4. Click OK to confirm.

5. Click to select the item.

6. That's it. You're done.

Sell an activity

Remember I told you about sessions? and then about guests? this is where this all comes together. Entry items allow you to sell an entry of a session to a guest. For example a seat in a go-kart race. Because of the different nature of a scheduled activity compared to a can of coke, the method to sell it is slightly different to.

This tutorial will show you how to sell an activity or entry ticket.

12 STEPS

1. The first step is to open the booking module and click the search member button.

2. This will give you an overview of all registered members.

3. Double click the account you want.

4. You can also register a new member by pressing the add member button,

5. Alternatively you can also double click the session you want to sell.

6. A pop up with the products for this activity will open.

7. You can add more guests by using these controls.

8. Once you have all the guests in your group click on the desired product to add it to the bill.

9. Add supplements if needed.

10. Click close if you're ready.

11. Click Pay to close the bill.

Copy/Paste Participants

9 STEPS

1. The first step is to open Booking and click select the source session.

2. Select the participants you want to move to another session.

3. By holding the CTRL key you can select multiple participants out of the list.

4. With your mouse, click and drag the participants , then drop them in the new session.

6. As you see the products are automatically added to the bill.

7. Click Pay to finish the bill.

8. The new session ahs the participant added.

Move Participants

8 STEPS

1. The first step is to open Booking and click select the source session.

Lock places

Locking places is particularly Important if you work with multiple POS employees and/or Self Service kiosks. This functionality will enable you to lock places in a session so you can guarantee the availability to the group standing in front of you.

  

12 STEPS

1. If you're working on the POS you might run in to bigger groups that want to do the activities together. Since you only have a limited availability for some activities it is important that you lock the places you need.

2. This will prevent that your colleagues are able to take the places you need for your group.

3. To do this, start by selecting the session and then click the lock places icon.

4. Fill in the amount of places you need, the maximum is defined by the remaining free places.
So if your colleague would lock 5 from this heat that would mean your maximum will be 20.

5. From this moment the amount of slots you assigned can only be used by you.
this gives you the time to register all people correctly.

6. If you want to add people you can double click the session or click the add button on top of the session's participant list.

7. Click the add person or new mobile button.

8. Select the guest(s) you want to add.

9. As you see each guest will take up a reserved spot until they are all filled up.

10. If you are finished and still have some positions locked you can release them. Press the lock places button again.

11. Change the number of remaining locked slots.
0 to release all remaining.

Sell a Combo product or Package 

Most of our customers also offer package deals, so chances are big you will need to sell them to, no problem. For you there is no difference between selling a condo or a single item. The system will make sure that all items are included. Just make sure you select appropriate slots and hand over all required items.

Working with Supplements 

8 STEPS

1. Supplements are items that can be added to the main recipe at an additional cost.
for our example we take a Caesar salad as base item.

2. And you can add chicken, Salmon, Prosciutto ham or Blue cheese.

6. Click Close when you added everything needed.

Work with Modifiers

4 STEPS

1. Modifiers allow you to send messages to kitchen of bar and adjust menu items to the likings of the guest. For example "Soft drink no ice", "Salad no dressing" or like in this example when we order a Spaghetti.

2. We get the option to add or hold the sauce or cheese.

3. Let's select the "extra sauce" option.

4. An overview of the selected order and it's modifiers will show in the bill overview.

Some things to know about payments

As you probably already know, payment is a significant part of the sales. Not only during the sale but also after the sales a certain flexibility is needed to enable you to assist your guests. Let' go over the list of common scenarios and how to apply them. 

Accepting a payment

Update or change a pay method

9 STEPS

1. Changing a payment method can be done on the payments screen. So click the payments menu item to get a payments overview.

2. Select the bill that you want to change the pay method for.

3. As you can see the pay method used in this example is cash.

4. Click the "change payment details" icon to open the payment details screen.

5. Here you see the payment overview.
Click the change payment method to continue.

6. Select the new payment method you want to use.

7. Close this screen to see the result.

8. As you can see, the pay method has been updated.

Void a single line item 

7 STEPS

1. In case it is needed, you are able to void a single item from a bill.
To do this, navigate to the payments page.

2. Select the bill you want to void an item from.

3. Select the item you want to void.

4. Select the void icon.

5. If your user has insufficient rights you will see this pop up. Ask a manager to fill in his code or swipe his card.

6. Fill in a comment to make sure you remember the reason of voiding this article.

7. Finish by selecting a pay method and that's it. You're done.

Void an entire bill

7 STEPS

1. In case you need to void an entire bill, navigate to the Payments screen.

2. Select the bill you want to void.

3. Click the void button on top of the bill overview.

4. If your user has insufficient rights, ask a manager to fill in her code or swipe her card.

5. Fill in the reason why you need to void this entire bill.

6. Select the pay method you want to return the money in.

7. That's it. You're done.

Void a bill from a previous day 

14 STEPS

1. The first step is to open Booking and make sure the "Void in past right is assigned to your user."

2. Move to the Payments tab.

3. By default, this page always opens on the current day.

4. Click on the calendar icon to open the date picker.

5. Select the correct date you need to void a payment for.
The arrows on top of the date picker allow you to switch between months.

6. Click on the day to select it.

7. Pro Tip! You can also input the day in the date field.

8. As you can see all payments for this day are loaded.

9. Select the payment you want to void by clicking it once.

10. Click on the "Void" Button

11. If you only want to void a single item. You can select it in the bill overview and use the "void item" button.

Working with tabs

Our system allows for the concept of tabs. For those unfamiliar with this concept, a tab will enable you to store the current sales in the system and accept the money at a later stage. These tabs can be adapted in many ways prior to their closure.
