Create a product

Introduction

This tutorial explains how to create a simple product in our system or a bookable product. A simple product, is a product like a softdrink (Coca Cola), candy bar, a beer, and so on. A bookable product is a product with contains an activity in a time.

Simple Product

To create a new product, follow these steps:

  1. Open the ‘Menu’ in the top right corner of the application
  2. Go to ‘Products’
  3. Click on ‘Products’, the product overview page will open
  4. Click on the ‘+’ icon, the product configuration window will open. We will need to give the product a ‘Name’, ‘Group’ and a ‘Price’
  5. Give the product a name, for this example we will go with ‘Softdrink’
  6. Put the product in the correct group, we will choose ‘Drinks’. If you don’t have any groups (or not the correct group) configured, please refer to Create a Product Group . Giving the correct group is very important as it's the group that will show in your Cash report.
  7. Give the product a price (Money). It can be a AND/OR mode: 
    - AND: the price is made by money + credits, 
    - OR: the price can be money or credit(most common)
  8. Select the correct ‘Tax’ percentage

Your product is now configured, make sure you press ‘Save’. Once pressed, the product overview page will appear and will show you your new created product.

1. When you are in the configurator, Navigate to the Product page and click the "Add New" button.

5. Navigate to the price tab in the product details,

Extra Info:

You are also able to add a specific style to the product with the color you would like it to show on your Point of Sales, and you can also add a picture:

  • Change a color: from the Product -> Configuration -> Style
  • Add a picture: from the Product -> Configuration -> Picture

The simple product is applicable to merchandise, drinks, so simple products not related to activities. 

Bookable product

A bookable product contains an entry type to an activity (Bowling, Escape Room, Trampoline...), you will be able to set specific session settings by selling this product in the Booking software.

1. In order to create an entry product you start from a basic product. Once the basic configuration is done.

Entry Type Configuration

To create a new product with an entry type, follow these steps:

  1. Create a product as explained above

  2. Go to the second tab ‘Return’ and turn the ‘Entry’ button on. Click on the magnifying glass icon to search for or create a new entry type.
  3. You can create it in this tab and also if you go to ‘Products’ -> ‘Entry Types’ and click on the ‘+’ icon on the top left of the application.
  4. You can fill in the entry type Name and link it to the Resource. Turn the ‘Custom session setup’ button on so you can change the settings of this entry type.
  5. There are many different settings to change. The basic ones are the first couple of settings in the ‘Session’ and ‘Timing’ tab. Below is an overview of all settings.

Settings overview

    • GENERAL

      1. Name: Name of the entry type
      2. Session name: The name that will be used for the heat/session. If empty, this will use the default session name (Heat 1, Heat 2, Heat 3,…)
      3. Resource: The activity that this entry type is linked to.
      4. Group: The group that this entry type is linked to.
      5. Print tickets: This defines if products with this entry type will print a ticket.
      6. Custom session setup: Turn this button On to change settings. If this is Off, products with this entry type will use the default settings of the resource.
      7. Max Per Session: Used for Online Booking. This defines how many of this entry type can be booked per session. Very useful if you have different kart types like double karts, which you only have a limited amount of.
      8. Speed(Karting): You can assign an Unlocked Speed level here.
      9. Participants Mode:
        1. Booking: The normal setting. Participants will be added to the heat.
        2. ManualGrandprix(For Karting activity): No drivers will be added to this heat so you can add drivers manually in the Grand Prix tab in the Timing software.
        3. AutomaticGrandPrix(For Karting activity): Drivers will automatically be filled in based on the Training/Qualify heat results (in the same product combo).
    • SESSION

      1. Maximum participants: Maximum availability in this session(in total)
      2. Kiosk capacity: For the Smart Kiosk. This defines the maximum amount of customers that can book in the session once at least 1 customer books into it.
      3. Online capacity: For Online Booking. This defines the maximum amount of customers that can book in the session once at least 1 customer books into it.
      4. Scores: The score group for this entry type. You can also look at Setting up dynamic score groups for a different type of setup.
      5. Games: You can select a Game type here. This can be used for VR games, where you have different game types such as ‘Capture the Flag’ or ‘Team Deathmatch’.
      6. Enable E-mail sending: Turn this button on if you want sessions with this entry type to send score results.
      7. Enable SMS sending: Turn this button on if you want sessions with this entry type to send race results.
      8. Rules: You can select a set of Rules that you can configure for Endurance races. This can be set up under ‘Activities’ -> ‘Rules’.
    • ADVANCED

      1. Group: Used for online booking. You can give entry types a group name. This can allow you to block adults from booking into an existing kids heat, for example.
        Example: You have 3 products for kids karting with the same entry type. On this entry type, you add in the Group field ‘kidskart’. Once someone books this kids karting product, customers won’t be able to book at the same time for an adult heat (with uses a different entry type without a ‘Group’ field).
      2. Required membership: You can link a specific membership to an entry type that the customer needs. In the Booking software, if the selected customer doesn’t have the required membership, the product(s) linked to this entry type won’t be shown.
      3. Style: You can add a color. When you sell a product with this entry type, the heat/session will have this color. This can be useful to identify kids heats vs normal heats.

      This page shows which products are linked to the entry type you are viewing.

    • PRODUCTS

      This page shows the same but with more details about the products such as price, cash report group, tax amount, etc.

    • PRODUCT LINES

      This page shows which products (in a combo) this entry type is used in under ‘Product entry’.
